Forward/Reply Formatting

Have you ever noticed how forwarded e-mails are so different from one person to the next? I mean, Sue forwards you a message where the original text has a ">" at the beginning of each line, while Jeff forwards you something and the original e-mail comes as an attachment.

Whatever configuration you've seen or preferred, the big question is: What does MS Outlook do with your forward and reply e-mails? Now, a good question for you is: Do you like the configuration you have? If you said no, have you ever looked for the options to change it?

Well, if you've ever found yourself looking to control forward and reply formatting, this is the tip for you!

In Outlook, you're looking for the Tools menu, Options choice.

When the Options window opens, I found the E-mail Options button under the Preferences tab in newer versions of Outlook, including 2007.

Click on the E-mail Options button.

You're now looking for the "On replies and forwards" section.

You'll then see two categories: "When replying to a message" and "When forwarding a message."

Each of those have a drop down list of choices and a small preview of what the choice does to an e-mail. (The preview will change when a different choice is selected from the list).

As you can see, the options are pretty self-explanatory, so just choose what makes the most sense to you.

If you choose "Prefix each line of the original message," the "Prefix each line with" field will become active so that you can determine what character Outlook should use.

And last, but not least, at the bottom of the section, there's a checkbox that, when selected, will mark any comments you place within the body of the original e-mail (instead of just above it like the usual reply or forward) with the text you indicate.

For example, after I entered "April:" into the "Mark my comments with" field and then forwarded an e-mail, the text I inserted into the body of the original message was marked so that it's easier to find:

Once you've set all your preferences, click on the OK button and then hit OK again to exit the Options window and go back to Outlook.

Now, you're ready to forward or reply an e-mail with your own sense of style!

You're looking for the Tools menu, Options choice, View tab.

In the Formatting Marks section, you'll find a list of the possibilities.

Check each formatting mark you want displayed and then click OK.

You need to go to the Office button and click on the Word Options button located in the bottom right hand corner.

In the Options dialogue window, you need the Display section.

In the middle, you'll find the "Always show these formatting marks on the screen" section.

Check each formatting mark you want displayed and click OK.

I'm finally getting around to creating groups in my Outlook Express e-mail, but I forget where to start. Can you please refresh my memory? Thank you!

It would be my pleasure! If you usually send the same e-mails to the same group of people, you can make it easier by creating a group for them. With group e-mailing, you don't have to search again and again for each person you want to send an e-mail to. Maybe you're in a club and you want to e-mail every club member. Well, put them all in a group and save yourself some time. Or, perhaps you send certain e-mails to your family members only. Then make a group for them too!

To do that in Outlook Express, open it up, go to Tools and open your Address Book. Now, click on the New icon and choose New Group. Make a name for that particular group and type it in. Next, click on the Select Members button. That will bring up all the names you have stored in your address book. You then highlight each name you want to be placed in the group. For example, you have a card club and you want Mary, Betty, Judy, Ann, Nadene and Lisa to be in that group. Find their e-mail addresses and hit the Select button after each one. (You can also use Shift + a mouse click to highlight them all at the same time). Either way, click on the Select button to get all the names into the group.

After you're done, their names will appear under the Members panel. Click OK twice and your group's name will show up in the left Contacts pane.

When you want to e-mail that group, open up a new message like normal and go to Tools, Select Recipients. That will bring up a list of all your contacts and you can scroll through to find your group's name. Highlight the group name, hit the To: button and then OK. That will then bring your group's name into the To: section of your e-mail. It won't show everyone's e-mail address in a line like usual, but all the addresses are embedded in the group name.

You can then type out your e-mail and send it off. All your group members will receive it and it will save you lots of time. Try it for yourself today!

Dating in Excel

I'm sure by now, you've realized that when you type a date into MS Excel, the program seems to magically know what it is and treats it as such.

Less work for you, right?

But have you ever wished the date was in a different format?

I mean, maybe you want just the month and day (5/26), for example. Or, perhaps you're looking to have something like 26-May-06.

Well, what you may not know is Excel has a whole list of built in formats to choose from.

Here's the scoop on dating your way!

Select the cells to be formatted.

In older versions of Excel, you need to go to the Format menu, Cells choice. (Both Ctrl + 1 or a right click and then the Format Cells choice will work too).

In Excel 2007, you can use the right click with the Format Cells choice or Ctrl + 1 or click on the little down arrow in the bottom right hand corner of the Number section under the Home tab on the ribbon.

At any rate, everyone should be looking for the Number tab in the Format Cells dialogue window.

On the left, in the Categories list, choose Date.

On the right, in the Type section, a list of standard options is displayed.

Select the format you need.

Click OK.

Poof! The date format is done.

But wait, what was that I heard?

The standard dates aren't what you're looking for either?

Gmail: Finding an IP Address

Welcome to a quick how-to guide on how to track your Gmail e-mails to their originating locations by figuring out the e-mail’s IP address and looking it up. I've found this to be quite useful on many occasions for verification purposes and I'm sure you will too. Tracking the IP address of an e-mail sender does require you to look at some technical details, so let's dig our heels in and begin!

There are basically two steps involved in the process of tracking an e-mail. First, you find the IP address in the e-mail header section and secondly, you look up the location of the IP address.

1.) To do that, log in to your Gmail account and open the e-mail in question.

2.) Click on the down arrow to the right of the Reply link. Choose Show Original from the list.

Now, here’s the technical part I was telling you about earlier! You need to look for the lines of text that start with “Received from:.“ It might be easier to simply press Ctrl + F and perform a search for that phrase. You’ll notice there are several Received from: entries in the message header. That's because the message header contains the IP addresses of all the servers involved in routing that e-mail to you.

To find the first computer that originally sent the e-mail, you’ll have to find the Received from: that is the furthest down. For example, as you can see from the above image, the first one is from a computer called “aseem” with the IP address of 72.204.154.191 (my computer and my IP address). It was then routed to my ISP’s server at eastrmmtao104.cox.net and so on and so forth.

That's all there is to it. It's pretty simple to find what you're looking for once you know what to expect. Now, you give it a try!

Firefox 3: Too Secure?

Over the past few weeks, I have received many e-mails about an issue with Firefox 3. So, today, we're going to sort this mess out!

How many of you Firefox users out there have seen this screen before?

I know I have. When I first saw that screen, I thought, "I better get away from this site!"

I would expect that if you saw a screen like that, it would make you think something is very wrong. Usually, I would recommend leaving a Web site like that alone, but after doing some reading, it looks like that error doesn't always mean the site is bad or insecure. I know that may seem confusing, so come along with me while I explain everything!

In order to understand what the box means, we'll need to go over how security certificates work.

When you visit a secure Web site (sites beginning with https://), the company that owns the site must have a security certificate to help encrypt the data. Most sites that have security certificates purchase them from a provider. Those providers ensure that the site is legitimate before issuing the certificate. When a company purchases the certificates from a well known provider, Firefox recognizes that and it doesn't give the initial warning. That's how most Web sites do business. They pay big bucks for security certificates.

While that may be the way most Web sites work, it's not the way they all work. Some sites want to have a secure connection, but they don't want to pay a provider, so they try to write their own certificates. "Self-signed" certificates provide a secure connection, but they don't have the backing of a well known certificate provider to verify the authenticity of the site. When you visit a site that has a self-signed certificate, Firefox warns you with the error message you saw before.

So, the error is telling you the site you're trying to visit is secure, but it hasn't been verified as a safe site by a well known certificate provider.

Now, I'm sure some of you are asking, "What should I do if I see an error like that? Should I trust the site?"

That's a good question and the answer really depends on the Web site. Keep in mind that not all sites that show the error are safe. If they were all safe, Firefox wouldn't have to worry about the error in the first place. If you come across an error like that on a Web site you're trying to visit, you have to use some common sense to determine if it's safe or not. You should ask yourself these questions:

1.) Have I been to this site before?
2.) Do I recognize the address of the site as a known safe site?
3.) Do I really need to go to this site?

If you answered yes to all three questions, you can get past the error and still visit the site. To do that, follow these steps:

Note: Please, please, please make absolutely certain that the site is safe before continuing. Going to an unsafe site can cause major security issues. The reason I'm writing this article is because this is a new feature that only Firefox has. Many people say the error makes Firefox "too secure" and it blocks sites that are completely legitimate. I just want you to be informed and to know about the errors you're seeing.

First, click on the link at the bottom of the box that says "Or, you can add an exception."

Next, click on the Add Exception button.

Now, click on the Get Certificate button.

Finally, click on the Confirm Security Exception button.

After the last step, you will be allowed to go to the Web site. Until next time, stay safe out there, my friends!
